In today’s episode of Event Ninja News, I explain why you should be sending a weekly event update email.

If you’re not already sending a weekly event update email to your key event team members, you should be! And here’s why…

1. It’s a great way to quickly and efficiently update the whole team on where each aspect of the event is at. That way, they can easily have a read over the email and perhaps think “Great, I was going to check with Kim on X, Y and Z, but I can see she is already on top of those things”.

2. I’ve said it once and I’ll say it again. Sometimes people just don’t get what we do and exactly how much time it all takes! As much as you shouldn’t need to, this is a great way to justify the amount of time you have been spending on the event that week. Often it takes time for people to respond to your requests. If you don’t come up with the goods, some members of your team may think you have been slacking off, even though, in reality you have spent the week chasing people for answers. Don’t be afraid to let your team know what you’ve been up to and how hard you have been working!

So, draw up a template with headings for each area of the event… venue, sponsors, registrations, budget, etc. Then, each Friday, simply add a few dot points explaining what you’ve been working on during the week and the status of each of those key items.

Believe me… it will make your event life so much easier!
